Planning Commission Minutes - March 20, 2001
Page 4

However, in some instances, staff has viewed videotapes of past meetings to understand the correct conclusion of a particular
issue.

Samuelson stated that the shorten Council minutes captures pertinent, necessary information, but does not involve extensive
discussions. Locke explained that legally the City is required to provide at an absolute minimum the motion or final action.

Schiferl added that written minutes does allow for quick retrieval and reference rather than finding the information on a
videotape.

Locke explained it is the City’s future intent to make available to the public the meeting via Internet. Currently,
documentation referring to agendas, minutes, resolutions, and reports are available in written form at City Hall.

Boylan added that continual technological advances brings up the question whether current formats may become obsolete.
Zisla feels the accessibility of paper format is important, in the event of formatting problems.

Schiferl said it is very helpful to review written minutes in times of absence and noted the importance of official
understandings in written form. Zisla added that formalizing findings of facts and capturing specific understandings should be
contained within the official record.

The consensus of the Commission was the preference to continue the traditional longer format.

On an unrelated note, the Commission asked if the Pike Lake School site plan required screening of the rooftop mechanical
equipment. Locke said there is anticipation that screening will be provided.

Adjournment

The meeting was adjourned at 9:13
p.m.

_______________________________________
Patrick Boylan, City Planner

I:\COMMISSIONS\PLANNING\MINUTES\2001\3-20-01.WPD
4
