Approved
Chair Howard asked if there would be a December meeting. Staff responded due to the holidays there would not be a
December meeting, but staff would put together a summary of comments received at the public forum for the January
meeting.
Staff noted the meetings could be adjusted in the future if necessary.
A Task Force Member asked if staff had any idea how many people might show up to make comment. The Chair
responded staff could not predict this, but if there were more people who wanted to make comment that did not fit into the
two hours, they might need to continue the meeting to another night.
A Task Force Member asked if they should put a hold for a night in early December if the November meeting needed to
be continued.
Chair Howard stated maybe they could limit repeat comments.
A Task Force Member asked if they needed to listen to all of the comments or was there a way to control the repeat
comments. Staff stated the issues he has seen was people coming up more than once or just repeating the comments. He
stated it would be up to the Chair to limit this.
A Task Force Member stated one concern he had was that this did not address the City businesses and he noted businesses
might have concerns also regarding urban farming.
A Task Force Member noted at the next meeting they would need to discuss the guidelines for the November meeting.
Staff continued with their presentation reminding the members that the meetings were considered public meetings, would
be recorded, and minutes would be prepared.
Staff indicated because the meetings were not videotaped and it would be hard to decipher who was making what
comment, it would be important for the members to review the minutes and if their name was by a comment they did not
make,to let staff know so the minutes could be corrected.
Staff stated they wanted the meetings to be open and transparent and staff wanted to be able to provide good information
to the members. He asked the members to be open to other people's opinions and to keep an open mind on all comments
received. He asked them to listen to others and speak respectfully. He stated if a member had something to say,to please
participate. He stated they needed to focus on a policy they would be comfortable with. He indicated if a member had
any questions, comments, or concerns to contact a staff member.
Staff stated the minutes and agenda would be available on the City website under Government, Commissions/Task Force,
and Urban Task Force. He noted they would also receive a packet of information from staff.
A Task Force Member asked if there was a good way to share information to others in the group without violating the
public meeting laws. Staff responded they should send their information to a staff member who would disburse it to the
Members.
Chair Howard asked if they could get the packet sent out at least a week ahead of time so the Members had time to review
the information.
A comment was made for the Members to look at www.thecitychicken.com for what other communities were doing.
A Task Force Member asked if there were any other sources for information on bees and other topics. Staff responded if
the Task Force wanted additional research done they should let staff know.
5
