~~
~A
.~
~~
1.
The necessary first step in the genesis of your gifts catalog is to inventory
your needs.
The inventory of agency ar organization needs to be displayed in the catalog
should be comprehensive. The list should include large expenditures such
as swirrnning pools, ball fields and large-scale recreation programs, as well
as sr~all items such as shrubs, lining chalk, frisbees, etc. In addition,
needed services and skills can be listed. Remember, the idea is to portray
a full range of cliffs from which the private sector can choose. Don't for-
aet. to include some exotic or unusual needs.
The gifts catalog can alsn vary in the scope of geographical service areas
for whir,h donations are sought. The catalocl can be designated to solicit
gifts for the park department or recreation organization in general.. It
can be designed to benefit one or more high-need neighborhoods. Or, it
can be designed to cover the various aspects of one large-scale project:
Most successful catalogs include a combination of systemwide, neighborhood
and project needs.
If not already available, the inventory of needs can be accomplished by
your agency or organization, or by various private sector allies such as
an Advisory Council, a local college recreation class or volunteers. The.
City of Richmond, California, hired two CETA employees to conduct a compre-
hensive inventory. It's importdnt to involve field staff in the inventory
because they are in closest tough with your community. Another idea is to
involve recreation program participants or organization members. A question-
naire can be provided to solicit ideas on what they feel is needed. This
approach will generate SOmP_ valuable ideas. It is also a way of publicizing
the catalog and giving participants a sense of pride for their contribution
to its content.
As your inventory of needs develops, document the needs graphically. This
is essential. Take pictures of the cracked asphalt, overf owing trash cans,
urban sprawl, deteriorated structures and undermaintained ]andscaping. It
also helps to include pictures of nee equipment, plans for new buildings,
and other photographs of needed items so the donor can see what he or she
will be contributing. The park gifts catalog is a graphic publication and
an.y photo documentation you accomp]ish during the inventory of needs will
come in handy during production of the catalog.
E
4 ~
,~..„ ._1...~, .,~.,~.:
.,
.~ ~
Inventory and Documentation
