Planning Commission Minutes - March 20, 2001 <br />Page 4 <br /> <br />However, in some instances, staff has viewed videotapes of past meetings to understand the correct conclusion of a particular <br />issue. <br /> <br />Samuelson stated that the shorten Council minutes captures pertinent, necessary information, but does not involve extensive <br />discussions. Locke explained that legally the City is required to provide at an absolute minimum the motion or final action. <br /> <br />Schiferl added that written minutes does allow for quick retrieval and reference rather than finding the information on a <br />videotape. <br /> <br />Locke explained it is the City’s future intent to make available to the public the meeting via Internet. Currently, <br />documentation referring to agendas, minutes, resolutions, and reports are available in written form at City Hall. <br /> <br />Boylan added that continual technological advances brings up the question whether current formats may become obsolete. <br />Zisla feels the accessibility of paper format is important, in the event of formatting problems. <br /> <br />Schiferl said it is very helpful to review written minutes in times of absence and noted the importance of official <br />understandings in written form. Zisla added that formalizing findings of facts and capturing specific understandings should be <br />contained within the official record. <br /> <br />The consensus of the Commission was the preference to continue the traditional longer format. <br /> <br />On an unrelated note, the Commission asked if the Pike Lake School site plan required screening of the rooftop mechanical <br />equipment.
