WM& <br />BRUFPON <br />the city that works for you <br />REQUEST FOR COUNCIL <br />CONSIDERATION <br />Report Number <br />Agenda Section <br />Council Meeting Date <br />09-021 <br />VI -18 <br />January 13, 2009 <br />ITEM DESCRIPTION: CONSIDERATION OF PROFESSIONAL ARCHICTECTURAL <br />SERVICES AGREEMENT FOR THE RENOVATION OF THE FAMILY SERVICE CENTER <br />ROOF AND TO AUTHORIZE THE ADVERTISEMENT OF BIDS FOR PROJECT 09-40, FSC <br />ROOF RENOVATION <br />DEPARTMENT HEAD'S APPROVAL: Sandy Breuer�_Director of Parks and Recreation <br />CITY MANAGER'S APPROVAL: <br />No comments to supplement this <br />Comments attached <br />Recommendation: Authorize city staff to eter�hto a contract with Bonestroo for architectural services in the <br />amount not to exceed $14,300 for design an 'construction oversight services for the renovation of the Family <br />Service Center roof and to authorize the advertisement of bids for project 09-40, FSC roof renovation. <br />Legislative History: <br />None. <br />Financial Impact: The total cost for architectural services is $14,300. <br />Explanation: The City is seeking Architectural Services involving the design services, contract administration, <br />construction inspection and contract close out of the Family Service Center roof renovation. In 2009, the roof <br />will be 15 years old and reach or surpass its life expectancy according to each of the architectural companies <br />submitting quotes. In addition, roof leaks have been increasing in each year with a three year total of $9,947 in <br />repair costs. Along with the increase in leaks, a recent safety inspection with Loss Control Services found the <br />walk -way pavers to be a "trip and fall hazard" and recommended the removal and replacement of all broken <br />pavers. <br />Staff solicited three quotes for architectural services. The amounts quoted are as follows: <br />Bonestroo $14,300 <br />INSPEC $18,000 <br />Kodet Architectural Group $32,000 to $36,000 <br />If approved the staff will follow the below timeline: <br />• January 2009: Meet with architectural firm to review project and develop bidding documents <br />• February 2009: Send out bids <br />• Late February 2009: Analyze bids <br />• March 2009: Council approval of contract <br />• April 2009: Obtain necessary permits & approvals <br />• May 2009: Hold pre -construction conference, review shop drawings <br />• June 2009: Begin construction <br />Costs and Funding: The 2009 non -fleet plan includes the renovation of the Family Service Center roof in the <br />amount of $225,000.
