NIA City of <br /> 44INEW <br /> H ON <br /> the city that works for you <br /> Council Worksession <br /> September 25, 2012 <br /> Present: Mayor Dave Jacobsen <br /> Councilmember Mary Burg <br /> Councilmember Paul Jacobsen <br /> Councilmember Char Samuelson <br /> Councilmember Gina Bauman <br /> Absent: None <br /> Staff in Attendance: City Manager Dean Lotter <br /> Assistant to the City Manager Schawn Johnson <br /> IT Administrator Andre Barte <br /> The meeting was called to order at 5:30 pm <br /> Discussion of Paperless Packet Transcription <br /> City Manager Lotter gave a limited demonstration of the anticipated electronic tablets. Software options and <br /> battery life were briefly discussed. IT Administrator Barte stated that the suggested MSRP is approximately <br /> $600 per unit. Manager Lotter suggested there are options for a reduced pricing. <br /> Barte stated that Leveno was chosen for the price point and the operating system compatibility. <br /> Software and features were discussed, along with possible usage guidelines. Mayor Jacobsen asked if there <br /> were any councilmember's not in agreement. Councilmember Samuelson stated that she would like to obtain <br /> an estimate of the costs. Manager Lotter recommended having the council work with the tablets for a period of <br /> time; maybe one year, and then move the Advisory Commissions away from paper packets. <br /> Manager Lotter suggested making the change to paperless packet in January 2013. <br /> Discussion regarding Community Survey <br /> City Manager Lotter reported that staff at the direction of the council has looked at various organizations to <br /> conduct a Community Survey. Assistant to the City Manager Johnson reported that four companies were <br /> reviewed;National Research Center, Decision Resources, Cobalt Community Research, and Springsted. <br /> Johnson shared pros and cons of each of the Companies, noting that National Research Center is able to <br /> complete the survey via phone, web based or mail, the other companies are not able to offer all three methods <br /> for data collection. City Staff recommends partnering with National Research Center to complete the <br /> Community Survey. <br /> Mayor Jacobsen asked if neighboring cities find the information useful. Mr. Johnson responded that all of the <br /> cities found the survey feedback to be beneficial. <br /> Councilmember Bauman suggested utilizing the method that generated the best response. Councilmember <br /> Jacobsen questioned the number of questions typically on the surveys. Johnson responded that usually there are <br /> about 50 questions. Due to timing, Mayor Jacobsen agreed to continue the discussion. <br /> The worksession adjourned at 6:30 pm. <br /> 1 <br />
