I

I

I

Council Meeting Minutes
January 13, 1987

Council Business, continued

Motion by Schmidt, seconded by Gunderman, TO ASSIGN CONSIDERATION
OF INSURANCE CONTRACTING TO THE FINANCIAL POLICY ADVISORY BOARD
TO DETERMINE WHETHER OR NOT THIS IS SOMETHING WE SHOULD REVIEW
AND OPEN UP FOR BID FROM TIME TO TIME (NOT TO AFFECT THE PLACE-
MENT OF INSURANCE COVERAGE FOR THE CURRENT YEAR).

5 Ayes - 0 Nayes, Motion Carried

Motion by Brandt, seconded by Williams, to WAIVE THE READING AND
ADOPT A RESOLUTION AUTHORIZING INSURANCE COVERAGES FOR 1987.

5 Ayes - 0 Nayes, Motion Carried

Egan had no additional comments to the staff report concerning
the purchase of two personal computers and accessory hardware.

Motion by Williams, seconded by Schmidt, to AUTHORIZE THE
PURCHASE OF TWO IBM PC's AND ACCESSORY HARDWARE FROM MOORE
BUSINESS CENTER IN THE AMOUNT OF $11,680.00.

5 Ayes - 0 Nayes, Motion Carried

With regard to the staff report concerning the purchase of a
high-performance copier, electronic typewriter, and a personal
copier, Egan reviewed information in a supplemental report which
described the process the staff went through to select the Canon
equipment.

Schmidt stated he had a conference call with staff today to
review the original report; a result of that conversation was the
more detailed supplemental report. Schmidt feels the proposed
high-performance copier is beyond the city's requirements with
regard to copy volume (70,000 vs. 20,000); talked with a vendor
who felt a 20,000 capacity copier could be purchased for $6,000
to $7,000. The question, then, with regard to the duplexing and
collating features as well as the stapling, is whether or not we
need to spend $15,000. Schmidt noted the last copier his office
purchased had a 25,000 copy/per/month capacity and he did not pay
over $6,000 and it was state-of-the-art. Schmidt feels the city
could purchase a machine for $7-$8,000 with all of the requested
features, with a stapler built-in rather than an automatic stapler.

Based on past experience, Egan stated staff looked for a quality
machine. Egan stated staff feels the Canon has the best features
at the most reasonable cost, noting that both Kodak and Xerox
have similar machines in the $20,000 range); agrees it is a
difficult decision; not certain if we spend $6,000 we will get a
machine that will last a lifetime; and the recommended copier has
more potential as we would not be against the limit immediately.

Page Eight

Purchase; Two
Personal
Computers
Report 87-16

Purchase; 2 copiers,
1 typewriter
Report 87-17
