<br />I <br /> <br />I <br /> <br />I <br /> <br />Council Meeting Minutes <br />January 13, 1987 <br /> <br />Council Business, continued <br /> <br />Sinda stated the current machine is bad; feels we need a heavy- <br />duty machine because it gets a lot of activity; the features on <br />the recommended copier will save time; and understands the <br />copiers with the collating bin concept jams more. <br /> <br />Gunderman appreciated Schmidt's comments relative to economics, <br />but noted the worst thing is having a machine that is too small <br />and would rather see the City buy a copier that is too big and <br />feels it would be to our advantage to approve staff's recommenda- <br />tion. <br /> <br />Schmidt stated that sometimes a larger machine is purchased <br />anticipating it will be grown into; feels the price is out of <br />line with the required volume; asked if we were at maximum for <br />the machines at the intermediate level; questioned if the machine <br />is being purchased for the additional features rather than its <br />capacity; we could buy two machines and still save money; we <br />could buy one machine better than what is recommended for the <br />Police Department; and indicated there are a number of options <br />(leasing, etc.). <br /> <br />Motion by Gunderman, seconded by Brandt, to WAIVE THE READING <br />AND ADOPT A RESOLUTION AUTHORIZING THE PURCHASE OF A CANON <br />NP-8570, A CANON AP-400 TYPEWRITER, AND A CANON PERSONAL COPIER <br />14 IN THE AMOUNT OF $16,995 FROM INTERNATIONAL OFFICE SYSTEMS, <br />INC. (Note: Motion was later withdrawn). <br /> <br />Sinda suggested the question be tabled for two weeks to allow <br />for further study of the various options suggested during the <br />course of the discussion. <br /> <br />Schmidt indicated contracting out large copying jobs is an <br />option which should be considered to save time and money. <br /> <br />In answer to a question by Gunderman, Benke instructed that <br />staff return in two weeks with results of further analysis. <br /> <br />Schmidt suggested that staff rank the list of criteria; determine <br />whether or not a 20,000 copy/per/month capacity machine would be <br />sufficient if it only had 95% of the criteria; determine whether <br />or not all features need to be combined into one machine with a <br />larger capacity, or maybe have more than one machine with the <br />smaller capacity (20,000); and consider purchase options as well <br />as lease options, recognizing that capacity may grow (may want to <br />buy/lease one now and buy/lease a second machine later). Schmidt <br />specifically suggested staff look at the personal copier to see <br />if it would really meet the needs of the Police Department, and <br />noted that for an additional $50-.$100 more a typewriter with a <br />larger display function and memory function could be purchased. <br /> <br />Page Nine <br />
