<br /> <br />REQUEST FOR COUNCIL CONSIDERATION <br />ITEM DESCRIPTION: CONSIDER PURCHASE OF WORK ORDER AND CITIZEN REQUEST MODULES FOR <br />BS&A, INCLUDING ON-LINE PORTAL <br />DEPARTMENT HEAD’S APPROVAL: Craig Schlichting, Director of Community Assets and Development <br /> <br />CITY MANAGER’S APPROVAL: <br />No comments to supplement this report ___ Comments attached ___ <br /> <br />Recommendation: To approve and authorize purchase of the BS&A Work Order and Citizen’s Request <br />modules for a cost not to exceed $33,865. <br />Legislative History: <br /> Late 2014/Early 2015: the City’s financial software at the time (named “Therefore”) was deemed obsolete, <br />and staff was directed to identify a new Enterprise Resource Planning (ERP) system. <br /> June 23, 2015: After reviewing multiple service options, the City Council authorized the Mayor and City <br />Manager to enter into a Software License and Services Agreement with BS&A to purchase their financial <br />management software. Part of the reasoning behind selecting BS&A was its flexibility to add other integrated <br />applications moving forward as may be needed. <br /> June 28, 2016: Pleased with the BS&A financial software, the City Council authorized purchase of the BS&A <br />Building Department and Field Inspections Applications. Both were subsequently integrated and are <br />currently in use. <br /> June 25, 2019: Council considers multiple ways to improve code compliance efforts at a work session <br />meeting, and directs staff to proceed with purchase and implementation of the work order and Citizen’s <br />Request modules for BS&A <br />Financial Impact: Listed below are the costs for the Work Order module: <br />1. One time startup fee (includes additional software, training, & data conversion) ......................... $29,390 <br />2. Travel expenses proposed by BS&A (will be questioned by staff) ..................................................... $4,475 <br />3. Annual future service fee (starting in 2020) ...................................................................................... $3,880 <br />Explanation: The City currently utilizes BS&A software to track City financials, organize human <br />resources, track employee timesheets, and to track and organize the building department’s work flows. <br />With the purchase of each new BS&A module to date, City staff has found no reasons not to recommend <br />further modules as needs arise.
